The short answer

Trace a comparable group of enquiries through contact, service fit, next step and sale. The missing link may be the offer, traffic, page, response or sales process. Establish where people stop before increasing spend or replacing the provider. A low cost per lead alone cannot answer the question.

Ask what an enquiry actually represents

A platform can report a button click, a submitted form or a messaging conversation. Your sales team may mean a person who has asked about a suitable service. Those are different starting points. Check the event and business record before judging whether the campaign has produced useful opportunities.

Use a stable enquiry reference so a repeated message, return call or second form is not counted as another person. Keep the actual receipt date and allow for the business’s usual decision cycle. A newly arrived enquiry is not equivalent to one the team has followed up for several weeks.

Each observation gives a hypothesis, not a proven cause. Inspect actual conversations and page behaviour alongside campaign records. A sales team saying “bad leads” is useful feedback, but it needs a definition and examples.

Make the review usable without a complicated CRM

A simple record can use Lead, Disqualify, Qualify and Deal. Agree what each means for your business. Keep the source, received date, last response, next action, owner and a short reason when something does not progress.

Disqualify should mean the enquiry fails an agreed criterion. An unanswered contact may still be unresolved; recording every non-reply as unsuitable can conceal a response problem. Likewise, a helpful conversation is not automatically a qualified opportunity or sale.

Answer the customer’s question before sending the next script

For illustration, a person asking about the scope and price of a renovation needs a direct answer, the relevant conditions and an appropriate next question. Sending a long generic introduction without addressing their question may leave the decision unresolved.

A useful next step might be confirming the property details, arranging a conversation or obtaining the information needed for a quote. State who will do what next. This is an example of a response structure, not evidence that a script will produce a particular conversion rate.

Change the part that the evidence points to

When contacts are unsuitable, review the offer and targeting. When relevant visitors struggle to complete an enquiry, inspect the page. When suitable enquiries lack a reply or next action, fix follow-up capacity. When quotes stall, review the proposition and sales conversation.

Choose one important change, name an owner and record the review date. Several simultaneous changes can make it difficult to understand what helped. If the journey is broken or the agreed spending limit is reached, revisit activity before buying more traffic.

Connect the feedback when the record is reliable

Advertising platforms may support downstream outcomes. Google describes qualified and converted leads as separate goals tied to the advertiser’s lead process. Implementation still depends on the eligible connection, matching data and account configuration. Sending feedback does not repair a weak offer or unanswered enquiry.

Should we change the agency immediately?

First ask for a joint review of the route and the work completed. Missing records or unexplained changes are issues to resolve; a poor sales week alone does not identify who caused it.

Is there a good conversion rate we should target?

Use a consistently defined business record and economics. Industry labels alone do not give a comparable target: offers, qualification and sales cycles differ.

Who should own this review?

The business and marketing team need to work together. Marketing can review the promise and traffic; the business supplies follow-up and deal outcomes.
